Unpaid Internship: Intern Applicant Requesting

Description of Process: This request would be made by an individual who is seeking a voluntary, unpaid learning experience for their own purposes or to obtain course credit outside of a ‘prescribed’ academic program course requirement (i.e. a self-designed applied learning experience). When making the request, the unpaid intern applicant should be prepared to provide a written description and criteria for their individual interests and needs. Supervisors for this type of unpaid internship may be requested to provide verification of internship hours, a performance evaluation from their supervisor upon completing the unpaid internship, or other documentation related to the experience.

Memorandum of Understanding (“MOU”) - Contract Management Procedures: Individualized MOU required. Student Intern Program Terms and Conditions Agreement must be requested/established according to current Contract Management Guidelines. All requests and contract execution procedures are processed through the Determine system.*

*Guidance is available via the service area’s intranet or Contract Management Department.

Process Steps: The unpaid intern applicant should complete the Internship Request Form-Individual Requesting form and submit to Recruiting. School may provide intern applicant (if applicable) with required forms and criteria for expectations, supervision, evaluation, etc. The applicant should provide this information at the time of request. Recruiting will forward the request to the appropriate service area contact. If a suitable unpaid intern placement is identified, (within the appropriate service area) Recruiting will notify the intern applicant and connect applicant with appropriate service area contact/supervisor. The supervisor should then ensure that the intern completes all HR/personnel requirements, based on the service area’s requirements per the appropriate Checklist (“Clinical” or “Non-Clinical”).

The service area supervisor or designee should provide contact information for the intern to Recruiting (via Checklist):

  • Name
  • Contact (Phone/Email)
  • Type of internship
  • If student, name of school, program of study, graduation date

At the conclusion of the unpaid internship experience, the supervisor should complete the Unpaid Internship Supervisor Survey to provide recommendations for hire and submit the completed Checklist to Recruiting.
